eSignature API for Property Management

Add lease, renewal and owner agreement signing to your property management software. Send one request per lease with every co-tenant on it, track who has signed from webhooks, and file the sealed PDF against the unit automatically.

Leases and renewals
signed across your portfolio

Send new leases, renewals and addenda from your property management software. Residents sign in a browser on any device, and webhooks update the unit when everyone has signed.

Every resident and the manager sign on one request, at $0.30 per request.

The signing workload of a property manager

Property management software sends the same few documents thousands of times a year. These are the ones worth automating first:

DocumentWho signsHow the API handles it
New leaseAll adult residents, then the managersignInOrder, one templateId per property or state, extractTags for generated leases
Lease renewalCurrent residentsRenewal PDF generated with the new terms, SMS-length links with phone_urls, one_click_sign for short renewals
Addenda (pet, parking, storage, utilities)ResidentsShort template per addendum type

Lease renewals at scale

Renewals arrive in waves. A 1,000-unit portfolio with 12-month leases sends roughly 80 renewal offers a month, most of them in the busy season. The pattern most property management products follow:

  1. 60 to 90 days before expiry, your system generates the renewal offer from the current lease, rent and any increase.
  2. Create one sign request per unit with every resident on it. Add include: ["phone_urls"] to the request to get a shorter phoneUrl for each resident, suited to a text message.
  3. Track progress on RECIPIENT_SIGNED and remind the residents who have not signed with POST /recipients/{recipientId}/remind.
  4. On REQUEST_COMPLETED, download the signed PDF and certificate, attach them to the unit, and update the lease end date and rent in your ledger.
  5. If the resident gives notice instead, cancel the request with POST /requests/{requestId}/cancel and start the move-out workflow.

Integration example: one lease, all residents

Your system builds the lease PDF from the unit, rent and resident data, with signature tags in the document text, styled white so they stay invisible. One request covers every resident and the manager:

curl --request POST \
  --url https://app.quicksigner.com/api/v1/requests \
  --header 'Authorization: YOUR_API_KEY' \
  --header 'Content-Type: application/json' \
  --data '{
    "fileName": "71aa...-lease-oak-court-12.pdf",
    "extractTags": true,
    "signInOrder": true,
    "senderName": "Oak Court Residences",
    "emailSubject": "Your lease for Oak Court #12",
    "recipients": [
      { "type": "EMAIL", "email": "resident1@example.com", "name": "Maria Lopez" },
      { "type": "EMAIL", "email": "resident2@example.com", "name": "Sam Lee" },
      { "type": "EMAIL", "email": "leasing@oakcourt.example", "name": "Leasing Manager" }
    ]
  }'

Residents can also sign inside your resident portal: load each signUrl in an iframe, set hideInfoPanel on the request, and add disable_notifs to the options of residents who are already logged in. Tag syntax and the full schema are in the API reference.

Event or statusWhat your software does
RECIPIENT_SIGNEDShow "2 of 3 residents signed" on the unit and the leasing dashboard.
REQUEST_COMPLETEDFile the lease and certificate on the unit, mark it leased, post the deposit and first rent charges, schedule move-in.
Status REJECTEDFlag the unit for the leasing team.
Status CANCELEDThe applicant withdrew or the offer was replaced.

Statuses such as REJECTED and CANCELED come from GET /requests/{requestId}, which also returns each recipient's sigStatus and signing order.

Rules that matter in property management

Most property management paperwork can be signed electronically under the ESIGN Act and UETA. A few documents and notices have their own rules, and your product should handle them differently. This is general information, not legal advice.

Good fit for the API

  • Leases, renewals and addenda
  • Move-in and move-out condition checklists
  • Owner management and vendor agreements
  • Consent to receive notices by email, where a state allows it
  • HOA approvals, owner consents and board sign-offs

Check the rules first

  • Eviction, default and right-to-cure notices for a primary residence
  • Rent increase and termination notices with set delivery methods
  • Secret-ballot HOA elections
  • Disclosures that must be delivered to residents in writing

Lead-based paint disclosure

For most housing built before 1978, the federal rule requires the lease or an attachment to carry the lead warning statement, the landlord's disclosure and the resident's acknowledgment, signed and dated by the landlord, any agent and the resident, and kept for at least three years (40 CFR 745.113). Place signature and date fields for each party on the disclosure page, and keep the signed PDF and certificate for the full retention period.

Notices

The ESIGN Act does not cover notices of default, eviction or the right to cure under a rental agreement for a primary residence (15 U.S.C. § 7003(b)(2)). States also set delivery rules for other notices. California, for example, requires rent increase notices to be delivered personally or by mail (Civil Code § 827). Oregon allows notices by email only when the resident signs a separate addendum agreeing to it after move-in (ORS 90.155), which is itself a good document to send through the API.

Consent to electronic records

When a law requires information to be given to a resident in writing, the ESIGN Act requires the resident's consent to electronic delivery first. Add a consent step to your resident onboarding before you rely on electronic copies.

Move-in checklists

Some states tie the security deposit to a signed checklist. Washington, for example, does not allow a deposit unless the lease is in writing and both parties sign and date a move-in condition checklist (RCW 59.18.260). Sending the checklist as its own sign request gives you a dated, sealed record of it.

What it costs for a portfolio

Production runs on the Professional plan at $15 per user a month, plus $0.30 per sign request. The first 50 sign requests are free, once. Above 500 requests a month, ask for volume pricing.

PortfolioSign requests a month (leases, renewals, addenda, owner and vendor forms)Monthly cost with one Professional user

Estimates assume each unit's lease renews or turns over once a year, plus addenda, inspections and owner and vendor paperwork. The scenarios leave out the 50 free sign requests.

Property management eSignature API FAQs

Can every roommate sign the same lease?

Yes. Add each resident to the recipients array of one request. A request takes up to 50 signers and costs $0.30, however many sign.

Can residents sign on their phones?

Yes. Signers need only a link and a browser. Add include: ["phone_urls"] to the request to get a shorter phoneUrl for each signer, suited to text messages.

Can I send renewal offers in bulk?

Create one request per unit from your renewal job. Each request has its own status and webhooks, so you can track and remind each household separately.

Can owners sign management agreements through the API?

Yes. Add the owner as the first signer and your company as the second, with signInOrder set to true.

Can the lead-based paint disclosure be signed electronically?

The federal rule requires signatures and dates from the landlord, any agent and the resident, plus three years of record keeping. EPA and HUD have not published guidance specific to e-signing it; under the ESIGN Act an electronic signature generally satisfies a signature requirement. Collect the resident's consent to electronic records first and keep the signed PDF for at least three years.

Can I send eviction notices through the API?

Use your state's required delivery method. The ESIGN Act does not cover notices of eviction or default under a rental agreement for a primary residence (15 U.S.C. § 7003(b)(2)).

How do I prove a resident signed?

Every completed request comes with a signing certificate, and the PDF carries a PAdES seal that Adobe Acrobat shows as valid. Any change after signing is detectable.

Can I test before paying?

Yes. A free developer account allows unlimited test sign requests. Completed test documents are watermarked.
